Candidates should have prior experience running a medical office. This management position is in a large, busy urology practice overseeing our non-clinical office team. You would directly manage the office staff including the Front Office Coordinators, Care Coordinators/Surgery Schedulers, and other team members. A successful Office manager should have experience with staff leadership, dispute resolution, customer service, medical office policies and procedures, end of month procedures, inventory, insurance benefits, insurance precertification, predeterminations and appeals, and scheduling. We need "can do" people who will jump in and help out, no matter the task, to make sure our patients are well cared for and our team has what it needs to be successful.
Job Responsibilities:
Maintains a positive and collaborative work environment for all employees. Directly manages clinical and non-clinical staff on a daily basis. Approves time-off requests and timecards. Performs annual evaluations for all staff members, giving constructive feedback for improvements. Ensures organizational policies and procedures are being followed by your team. Develops guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary. Monitors work status and progress. Identifies, analyzes and resolves work problems. Assists in the recruiting, hiring and development of new staff members. Ensures office supply inventory is current, mail is opened and processed, and offices are opened and closed according to procedures. Assists patients with billing disputes, staffing complaints, and any other needs. Ensures that patients are treated courteously by office staff and that other visitors are screened and properly directed. Ensures that requests for information are handled promptly and effectively. Works with other administrative and leadership staff to ensure efforts are coordinated and high quality patient care is provided. Participates in professional development activities. Maintains strictest confidentiality. Completes hospital billing on a weekly basis. Obtains medical insurance benefits and authorizations as requires. Audits staff work on a regular basis. Works the Hold Report to ensure insurance claims are submitted in a timely fashion. Schedules staff meetings and appointments on a monthly basis. Maintains the office condition and arranges necessary repairs to equipment. Serves as back-up phone call for nighttime and weekend emergency calls from the hospital if the physician on call cannot be reached. Fills in for any positions at your offices that are short-handed.
Skills:
REQUIRED
Minimum of 1 year of medical office management experience. Strong experience with insurance billing/benefits. Proficiency in MS Office (MS Excel and MS Outlook, in particular) Hands on experience with office machines (e.g. fax machines and printers) Familiarity with EHR systems. (We use AllScripts EHR and PM.) Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem solving skills. Excellent written and verbal communication skills. Strong organizational and planning skills in a fast-paced environment. A creative mind with an ability to suggest improvements. High School degree.
