Job Description

Office Manager - Surgical Practice / Clinic Supervisor Position Summary The Office Manager serves as the Clinic Supervisor and is responsible for overseeing the daily administrative and operational functions of a surgical medical practice. This role ensures efficient office operations, coordinated surgical scheduling, regulatory compliance, optimized financial productivity, high-quality patient care, and a positive experience for patients and staff. The Office Manager is expected to be thoroughly trained in all office roles and able to seamlessly transition between functions as needed to ensure uninterrupted operations. The position serves as a primary liaison between the physician, surgical facilities, clinical staff, and front office personnel. Essential Duties and Responsibilities Practice & Surgical Operations Ensure operational excellence and quality of care throughout the surgical practice Optimize office and surgical workflows to improve efficiency, accuracy, and patient outcomes Maintain smooth, coordinated workflows across clinical, surgical, and administrative teams Ensure the office and surgical operations run as efficiently as possible Identify and implement process improvements related to surgery coordination and office operations Optimize the financial productivity of the practice through efficient operations, scheduling, and resource utilization Maintain readiness to support all operational functions as needed to ensure uninterrupted patient care Surgery Scheduling & Coordination Oversee all aspects of surgery scheduling, including coordination with surgeons, surgical facilities, anesthesia providers, and clinical staff Manage surgical block time, pre-operative requirements, authorizations, and post-operative follow-up scheduling Ensure surgical documentation, clearances, and pre-authorizations are completed accurately and on time Coordinate incoming surgical referrals and case management Serve as the primary liaison between the practice and surgical centers or hospitals Patient Care Coordination & Referrals Collaborate with other specialties to ensure optimal referral practices and continuity of patient care Support coordinated care efforts to enhance patient outcomes and patient satisfaction Staff Management, Cross-Training & Leadership Serve as Clinic Supervisor and provide leadership across all office functions Communicate and collaborate with Human Resources regarding staffing and personnel matters Recruit, hire, onboard, and train new staff Ensure thorough cross-training of all staff across office roles, including surgery scheduling, front desk operations, HR support, medical assisting, and billing Maintain proficiency in all office roles and seamlessly transition between functions as needed Provide coverage and operational continuity during staff absences Conduct staff evaluations and performance reviews Participate in performance improvement initiatives Address performance issues and terminate staff when necessary in accordance with company policy Ensure all staff complete required safety, compliance, and surgical training Foster a collaborative, team-oriented environment that supports patients and providers Compliance & Documentation Ensure compliance with HIPAA regulations and confidentiality of PHI Maintain excellent clinical and administrative documentation standards Ensure compliance with quality metrics, patient compliance, and surgical follow-up requirements Demonstrate working knowledge of clinical and surgical equipment to ensure a safe environment for staff and patients Operate and maintain office and clinical equipment as needed Billing, Referrals & Financial Oversight Oversee office and surgical billing processes Support revenue cycle efficiency, operational profitability, and financial performance Patient Experience & Physician Communication Ensure high levels of patient satisfaction throughout the surgical care process Address patient concerns related to surgery scheduling, preparation, and recovery Serve as a primary point of communication with the physician regarding office needs, staffing, and operational issues Support the physician by ensuring the office team functions cohesively to deliver high-quality patient care Assist with marketing initiatives and patient outreach Additional Responsibilities Perform other duties as assigned to support practice operations Qualifications High School Diploma or equivalent required Minimum of three (3) years of experience managing a physician's office or surgical practice preferred Experience with surgery scheduling, referrals, and pre-authorization processes preferred Experience with eClinicalWorks preferred but not required Strong organizational, communication, leadership, and problem-solving skills Ability to manage multiple priorities in a fast-paced surgical environment Benefits Medical Insurance Dental Insurance Vision Insurance Health Savings Account (HSA) Flexible Spending Account (FSA) for child care Employer-paid life insurance ($50,000) Employer-paid Long-Term Disability Insurance Voluntary Life Insurance Voluntary Short-Term Disability Insurance Aflac supplemental insurance options, including Accident, Hospital, Critical Illness, Identity Theft, and Legal plans 401(k) retirement plan with generous employer contribution Paid Time Off (PTO) - generous plan
