This vital role involves overseeing administrative functions, managing office staff, and ensuring a smooth, efficient workplace. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating a welcoming and productive office atmosphere. As the cornerstone of our administrative team, you will coordinate various office activities, support leadership, and enhance overall operational effectiveness. Duties Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy Oversee scheduling, calendar management, and appointment setting for staff and executives Maintain accurate records through data entry, filing, proofreading, and document management using Microsoft Office and Google Workspace tools Handle bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks accounting functions Coordinate office supplies procurement, inventory management, and vendor relationships to ensure seamless daily operations Provide exceptional customer service by supporting clients, visitors, and team members with timely assistance and information Supervise clerical staff and delegate administrative tasks to ensure efficiency across all departments Qualifications Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and computer literacy in general. Housecall Pro experience a plus. Familiarity with QuickBooks accounting software and basic bookkeeping principles Excellent phone etiquette with experience managing multi-line phone systems and customer support interactions Bilingual abilities are a plus to serve diverse client needs effectively Previous experience as a receptionist or personal assistant is highly desirable Strong attention to detail for proofreading, data entry accuracy, and filing procedures Ability to prioritize tasks efficiently using time management skills in a fast-paced environment Join our team as an Office Manager to lead with energy and enthusiasm!
