Job Description:
Our client is seeking a highly organized, detail-oriented, and proactive Office Coordinator to support operations across multiple locations. This role serves as a key operational support position, helping ensure organizational efficiency, accountability, and strong communication between school sites and the Corporate Office. The ideal candidate is dependable, analytical, adaptable, and capable of managing multiple priorities in a fast-paced environment. This position requires occasional travel between school locations and the Corporate Office to support operational needs, projects, and team coordination. Key Responsibilities Operations & Administrative Support Produce operational and financial reports and provide insights to leadership Track and monitor performance metrics, operational data, and organizational KPIs Assist with revenue and expense reporting and support budgeting activities Conduct payroll audits, financial audits, and internal process reviews Identify opportunities to improve operational efficiency, workflows, and administrative processes Support project management initiatives and assist with operational projects across multiple locations Coordinate timelines, follow-ups, and deliverables with team members and leadership Carry out various assignments as an extension of the Corporate Office Perform general administrative and office support duties Manage office errands, supplies, and operational logistics as needed Maintain organized digital and physical filing systems, records, and documentation Manage trackers, calendars, to-do lists, and administrative systems to ensure accountability and completion of tasks Take meeting notes and prepare summaries, action items, and follow-up communications Communication & Coordination Maintain communication with school locations to gather feedback, identify needs, and support daily operations Draft announcements, internal communications, presentations, and supplementary materials Coordinate with contractors, vendors, and service providers to support operational needs Support insurance-related communications, renewals, and policy management Travel between school locations and the Corporate Office to provide administrative and operational support Assist leadership with special projects and operational initiatives as assigned Payroll, HR & Financial Support Assist with bookkeeping support, including accounts payable and accounts receivable coordination Communicate with bookkeeping and payroll partners to ensure timely and accurate processing Help manage payroll deadlines, adjustments, and financial reporting requirements Assist with payroll processing and payroll corrections as needed Support ADP Time & Attendance administration, reporting, and troubleshooting Assist with onboarding administration and HR-related documentation Support employee engagement initiatives, team culture efforts, and wellness activities Qualifications 2+ years of administrative, operations, office coordination, or project support experience preferred Experience supporting multi-site operations, education environments, or fast-paced office settings is a plus Strong organizational skills with exceptional attention to detail and follow-through Ability to manage multiple projects, priorities, and deadlines simultaneously Strong analytical and problem-solving abilities Excellent written and verbal communication skills Proficiency in Microsoft Office Suite, Google Workspace, and data/reporting tools Experience with ADP, payroll systems, bookkeeping support, or financial reporting preferred Ability to work independently while collaborating effectively with cross-functional teams Professional, adaptable, and service-oriented mindset Reliable transportation and willingness to travel between locations as needed Preferred Skills Project coordination or operations management experience Payroll auditing or bookkeeping support experience Experience working with confidential employee or financial information Ability to identify process improvements and implement organizational systems Strong interpersonal skills with the ability to build relationships across multiple teams and locations
