This leadership role is responsible for ensuring efficient office workflows, supporting field operations, improving customer experience, and helping drive company performance through strong communication, accountability, and operational excellence. The ideal candidate thrives in a fast-paced service environment, has strong people and process management skills, and has experience handling accounting and customer service responsibilities. Key Responsibilities Manage day-to-day office operations to ensure efficiency, professionalism, and organization Develop and maintain office procedures, workflows, and administrative systems Oversee office supplies, vendor relationships, equipment, and facility needs Support ownership and leadership with reporting, scheduling, and operational coordination Foster a positive, accountable, and team-oriented work environment Ensure exceptional customer experience across phone, email, and in-person interactions Help maintain company reputation through high service standards Track KPIs including call conversion, technician efficiency, revenue performance, and membership growth Support operational improvements to increase profitability and customer retention Assist with payroll processing, invoicing, collections, and accounts receivable oversight Monitor office-related budgets and operational expenses Ensure adherence to company policies, safety standards, and licensing requirements Maintain confidentiality of employee and company information Required Qualifications 3-5+ years of office management or operations leadership experience Experience in residential HVAC, plumbing, home services, construction, or related trades preferred Strong leadership, communication, and conflict-resolution skills Proven ability to manage multiple priorities in a fast-paced environment Experience with dispatching, scheduling, and customer service operations Proficiency with Microsoft Office, Google Workspace, and service management software (ServiceTitan experience preferred) Strong organizational skills and attention to detail Ability to analyze operational reports and support performance improvement initiatives Experience managing administrative or customer service teams Knowledge of residential service operations and technician workflows Familiarity with payroll, AR/AP, and basic financial reporting Bilingual (English/Spanish) is a plus Benefits Package Medical, dental, and vision insurance 401(k) with company match Paid time off and paid holidays Company-sponsored training and professional development Career growth opportunities within a growing organization Employee discounts on HVAC and plumbing services Team events, company celebrations, and positive workplace culture Ideal Candidate Traits Organized and process-driven Strong communicator and team leader Customer-focused mindset Calm under pressure and solution-oriented Self-starter with strong follow-through Passionate about building efficient systems and supporting team success About Us We are a growing residential HVAC and plumbing company with approximately $20M in annual revenue, committed to delivering exceptional service, building a strong team culture, and creating long-term career opportunities for our employees.
