Job Description

Job Overview We are seeking an organized Office Manager to lead the daily operations of our busy office environment. This vital role ensures smooth administrative workflows, exceptional customer service, and efficient management of office resources. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to handle multiple responsibilities seamlessly. As the backbone of our office, you will create a welcoming atmosphere and positive team culture while maintaining high standards of organization and professionalism both inwardly towards our team and outwardly to our patients. If you are highly organized, can communicate effectively and are a natural leader, we want to talk to you. Duties Ensure accurate claims submission, navigate pre-authorizations, aggressively track down outstanding insurance claims, and keep accounts receivable (AR) under 5% Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy Optimize schedule for both doctors and hygienists to maximize chair time and patient appointments Treatment plan coordinator while being versed in financial options such as Care Credit or Cherry, helping patients navigate financial options Maintain office supplies inventory, place orders as needed, and coordinate maintenance or repairs to keep the workspace functional Provide exceptional customer support by addressing inquiries promptly via phone or email, ensuring positive interactions at all times Assist with clerical tasks such as typing correspondence, organizing files, and managing confidential information with discretion Lead morning huddles, foster a positive office culture, manage front-desk workflows, and ensure the administrative team is delivering an exceptional patient experience. Ensure the office strictly adheres to OSHA, HIPAA, and general healthcare privacy regulations. Skills Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications (Google Docs, Google Sheets, etc) Excellent computer literacy with the ability to quickly adapt to new software tools like Dentrix or Open Dental patient charts, patient ledgers and electronic claim filing. Strong multitasking abilities with effective time management skills to prioritize tasks efficiently Exceptional phone etiquette skills for handling multi-line phone systems and providing top-tier customer service when patients are calling regarding treatment plans and/or billing questions.
