Job Description

Overview We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role involves managing administrative tasks, supporting daily office functions, and providing exceptional customer service to both internal teams and external visitors. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills, with the ability to juggle multiple responsibilities efficiently. Duties Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately with professional phone etiquette Manage multi-line phone systems, screen calls, take messages, and handle inquiries promptly and courteously Oversee office management tasks including filing, data entry, document proofreading, and maintaining organized records Utilize computer skills in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for scheduling, correspondence, and document creation Coordinate calendar management for team members, scheduling meetings, appointments, and conference rooms efficiently Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing and expense tracking Provide customer support by addressing inquiries via phone or email with a friendly and helpful approach Assist with clerical duties such as typing reports, organizing files, managing office supplies inventory, and ensuring the office runs smoothly Maintain a professional environment by ensuring cleanliness and organization of common areas and workspaces Qualifications Proven office experience or administrative background with demonstrated organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer literacy Experience with QuickBooks or similar bookkeeping software is preferred Strong phone etiquette skills with experience managing multi-line phone systems Bilingual abilities are highly desirable to support diverse client needs Excellent time management skills with the ability to prioritize tasks effectively Clerical experience including data entry, filing, proofreading, and calendar management Personal assistant or medical/dental receptionist experience is a plus but not required Knowledge of office management best practices and customer service principles Join us as an Office Administrator to be a key contributor in creating an efficient, welcoming workplace where your skills will shine!
