This energetic role is vital in ensuring the smooth operation of our office environment, providing exceptional front desk support, managing administrative tasks, and coordinating various office functions. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a welcoming atmosphere while efficiently handling a wide range of responsibilities. Duties Greet visitors and manage multi-line phone systems with professionalism and friendly phone etiquette Oversee schedule management, including calendar coordination for meetings, appointments, and events Handle vendor management by coordinating supplies, services, and maintaining positive relationships with external partners Support human resources functions such as onboarding, training & development, and maintaining employee records Assist with bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic payroll processing Manage office operations by supervising clerical activities like filing, data entry, and document organization Coordinate event planning for company meetings or special occasions to ensure seamless execution Oversee front desk activities, including visitor sign-in procedures and ensuring a professional reception area Support office management tasks such as budgeting, petty cash handling, and supply inventory control Experience Proven experience in office administration or reception roles with strong clerical and organizational skills Supervising experience in an office or team environment is highly desirable Familiarity with QuickBooks or similar accounting software for bookkeeping and payroll tasks Demonstrated ability to manage schedules effectively and coordinate multiple priorities simultaneously Experience in vendor management and human resources functions within an office setting Knowledge of medical office management or healthcare environment is a plus but not required Excellent communication skills with the ability to train staff and foster a collaborative team atmosphere Join us in creating an efficient, welcoming workspace where every detail counts!
