In this pivotal role, you will coordinate administrative functions, manage front desk activities, and support team members with exceptional customer service. Your leadership will help foster a productive atmosphere while maintaining organizational excellence. Duties Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy Oversee office supply inventory, procurement, and filing systems to ensure seamless daily operations Coordinate calendar management, meetings, appointments, and travel arrangements for staff and executives Maintain accurate data entry records using tools like QuickBooks, Microsoft Office, and Google Workspace Provide exceptional customer support through phone etiquette, clerical assistance, and administrative tasks such as proofreading and document preparation Supervise office staff and delegate responsibilities to ensure efficient workflow and organizational productivity Handle bookkeeping tasks, including invoicing, expense tracking, and basic financial recordkeeping Requirements Proven experience in healthcare office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and computer literacy essential for daily tasks Familiarity with QuickBooks or similar bookkeeping software is highly desirable Excellent communication skills with bilingual ability preferred to serve diverse clients and team members effectively Prior experience as a receptionist or medical/dental receptionist advantageous for understanding front desk procedures Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment Demonstrated customer service expertise along with professional phone etiquette and clerical experience Ability to handle multiple responsibilities such as data entry, filing, proofing documents, and supporting personal assistant duties when needed Join us as an Office Manager to lead our administrative team with enthusiasm and precision!
