This position is responsible for managing the accounting functions of multiple businesses while also overseeing key administrative and office management responsibilities. The ideal candidate will have strong bookkeeping and accounting experience, excellent organizational skills, and the ability to manage multiple priorities across several companies. This role requires someone who is proactive, dependable, and capable of maintaining accurate financial records while ensuring important business obligations remain current and compliant.
Schedule:
Monday - Friday, 8:30 AM - 5:00 PM Occasional work outside normal business hours may be required to meet deadlines or address special situations. Key Responsibilities Accounting & Financial Management Manage day-to-day accounting operations for multiple businesses Reconcile QuickBooks and other accounting software systems Reconcile insurance payments, retirement plan contributions, customer payments, workers' compensation payments, and other financial transactions Reconcile bank accounts and credit card accounts Maintain accurate general ledger records Prepare and remit sales tax filings File and update workforce tax rates and related payroll tax information Monitor and review departmental and company budgets Generate monthly budget reports Prepare monthly Profit & Loss (P&L) statements Maintain accurate and up-to-date balance sheets Maintain cash flow reports and forecasts Generate monthly financial reporting packages for management Manage accounts receivable and collect client payments Set up and maintain recurring customer billing Reconcile payments within billing systems Process commission payments for 1099 contractors Assist with audits, reporting, and various accounting projects Perform other accounting and financial duties as assigned Office Management Ensure vehicle inspections remain current and compliant Track and maintain vehicle insurance policies Track and maintain property insurance policies Monitor contract expiration dates and coordinate renewals, including utilities and service agreements Maintain important business records and compliance documentation Assist ownership and management with administrative projects and operational support Perform other office management duties as needed QualificationsRequired Minimum of 5 years of bookkeeping, accounting, or financial management experience Minimum of 5 years of QuickBooks experience (or equivalent accounting software) Strong understanding of accounting principles and financial reporting Experience managing accounts payable and accounts receivable Experience reconciling bank accounts, credit cards, and financial statements Experience preparing budgets and financial reports Strong organizational and time-management skills High attention to detail and accuracy Proficiency in Microsoft Excel and other business software Ability to manage multiple companies and priorities simultaneously Preferred Bilingual (English and Spanish) Experience managing accounting functions for multiple businesses Experience with payroll-related tax filings and workforce tax management Office management or business administration experience What We Offer We provide an excellent work culture that allows our team members to grow, thrive, and make a meaningful impact on the businesses they support.
