Job Description

Pace GFX is a thriving leader in branded experiences that encompasses everything from Design, Print, Fabrication and Install. Pace GFX is seeking a highly motivated team player who is outgoing and enthusiastic for a position as an Office Administrator. Purpose of Position:
To effectively support and assist the Project Management team and office staff with admin work and data entry. You will work with the Project Director, General Manager, and owner on a daily basis.
Key Responsibilities:
  • Overseeing daily office operations to ensure efficiency and organization
  • Serve as the primary interface at the front desk when clients and vendors visit our facility
  • Answer phone calls and emails and directing inquiries to the appropriate department or employee based on the nature of the request
  • Handle daily small re-order entries and notify customers when their orders are ready for pickup
  • Gather Certificates of Insurance and handle closeout documents for construction clients
  • Manage changes to estimates and invoices per request of Project Management and Design teams
  • Create, maintain and file records, invoices, reports, and other business documents
  • Maintain office supplies
  • Schedule meetings, luncheons, and travel arrangements for upper management and other key employees
  • Assist Project Management team by ordering and reconciling purchases online
  • Must communicate effectively over the phone
Required Skills and Qualifications:
  • Have excellent time management and ability to prioritize tasks
  • Have excellent knowledge of MS Office, Google Drive, and office management software
  • Ability to handle interruptions, resolve issues, and work independently
  • Must have proven experience in administrative roles
