Job Description

Job Summary We are actively seeking a highly organized and proactive Office Manager to oversee daily administrative operations within our organization. The ideal candidate will possess strong leadership qualities, exceptional organizational skills, and a comprehensive understanding of office management practices. As the Office Manager, you will coordinate administrative functions, supervise support staff, and ensure the smooth functioning of the office environment. Your role is vital in fostering an efficient, welcoming, and productive workplace that supports our team's success. Duties Manage overall office operations, including administrative support, clerical tasks, and facility management to ensure seamless workflow. Supervise front desk activities, including greeting visitors, handling multi-line phone systems, and maintaining professional phone etiquette. Oversee calendar management and scheduling for executives and team members to optimize time utilization. Maintain accurate records through data entry, filing systems, and document proofreading to uphold organizational standards. Utilize software tools such as Microsoft Office, Google Workspace, QuickBooks, and other computer skills to support administrative functions. Coordinate with vendors and service providers for office supplies, equipment maintenance, and other logistical needs. Provide exceptional customer service by supporting internal teams and external clients with professionalism and efficiency. Assist with bookkeeping tasks related to office expenses and petty cash management when necessary. Support personal assistant functions for senior staff as needed, including travel arrangements and correspondence management. Uphold high standards of cleanliness and organization within the office environment to promote a positive workspace culture. Experience Proven experience in office management or administrative roles with a minimum of several years in a similar capacity. Demonstrated proficiency with clerical tasks such as data entry, filing, proofreading, and document preparation. Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and QuickBooks accounting software. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Experience managing multi-line phone systems and providing exemplary phone etiquette. Bilingual abilities are highly desirable to facilitate communication with diverse clients and team members. Prior experience in customer service or customer support roles that require professional communication skills. Knowledge of medical or dental receptionist procedures is a plus for healthcare-related office environments. Personal assistant experience or medical receptionist background is advantageous for supporting executive needs efficiently.
