This role is vital in maintaining efficient workflows, supporting staff, and providing exceptional customer service to visitors and clients. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive attitude to manage multiple responsibilities effectively. Responsibilities Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette. Oversee office management tasks such as filing, data entry, proofreading documents, and maintaining organized records. Coordinate calendar management and scheduling for team meetings, appointments, and events using Google Workspace or Microsoft Office tools. Handle clerical duties including typing correspondence, managing office supplies inventory, and ensuring all office equipment functions properly. Provide customer support by addressing inquiries promptly, assisting with customer service issues, and supporting client interactions. Maintain accurate bookkeeping records using QuickBooks or similar accounting software; perform basic bookkeeping tasks as needed. Support personal assistant functions such as travel arrangements, calendar updates, and task prioritization for executives or team members. Assist with medical or dental receptionist duties if applicable, including appointment scheduling and patient record management. Foster a positive office environment by implementing efficient organizational systems and ensuring adherence to office policies. Experience Proven experience in office management or administrative roles with a minimum of several years of relevant experience. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry software. Familiarity with multi-line phone systems, front desk operations, and customer service best practices. Bilingual abilities are highly desirable to support diverse client needs and enhance communication within the team. Previous clerical experience including filing, proofreading, and document management is essential. Knowledge of bookkeeping software such as QuickBooks or similar platforms is preferred. Excellent organizational skills with the ability to multitask efficiently while maintaining attention to detail. Demonstrated time management skills to prioritize tasks effectively in a fast-paced environment.
