Job Description

Job Summary We are seeking a friendly and highly organized part-time Office Manager/Administrative Assistant to join our Psychotherapy team of two counselors! In this role, you will be directing our daily operations and ensuring the office runs smoothly and efficiently. Your approach and attention to detail will support our two therapists with administrative tasks, insurance billing, insurance authorizations, customer service, and office management, creating a welcoming environment for clients. This part-time position provides an opportunity to showcase your multitasking skills, problem-solving abilities, and passion for maintaining an organized workspace that fosters productivity and positive energy. Hours are approximately Monday through Thursday from 7:45am to 12:15pm. Shift times can be negotiated. We are flexible about time off if planned ahead. Duties Manage front desk operations, greeting visitors and clients with warmth Answering directing calls accurately and courteously while maintaining excellent phone etiquette Assisting our counselors bill insurance companies for sessions Oversee calendar management and scheduling client appointments Utilize software tools such as Microsoft Office and other computer applications to support daily administrative functions Managing and directing our afternoon shift Office Assistant to help complete tasks Support bookkeeping tasks including invoicing and basic financial record keeping Provide exceptional customer service support by addressing inquiries promptly and professionally in compliance with HIPPA Maintain confidentiality of sensitive information while managing correspondence and documentation Experience Proven medical or counseling office experience or administrative background with demonstrated organizational skills Familiarity with phone systems, front desk procedures, and customer service best practices and HIPPA Proficiency in Microsoft Office Suite (Word, Excel), Gmail, Availity and basic computer literacy skills Previous roles in medical or dental reception or as a personal assistant are advantageous but not required Ability to manage time effectively We have been in practice for over 20 years and have two therapists with an established client base. HCPA is a peaceful environment where you will feel supported and provide the first contact with potential new clients with hope. We only have one counselor in the office, while the other in on telehealth out of the office, so the pace of your day will be manageable. Pay:
