Summary We are looking for a detail-oriented and driven Office Administrator to serve as the first point of contact for our customers and the driving force behind our collections and billing operations. This is a fast-paced, high-accountability role where you will manage inbound communications, coordinate accounts receivable and payable, trigger and track invoices, support financing processes, and convert inbound leads into sales-qualified opportunities for our sales team. Key Responsibilities Serve as the first point of contact for all inbound customer calls and texts, answering within 2 rings with professionalism and urgency Coordinate accounts receivable efforts and proactively follow up to resolve outstanding balances for both insurance and retail jobs Trigger, track, and reconcile invoices to ensure accurate and timely billing across all job types Support customer financing processes by coordinating with relevant parties and maintaining accurate documentation Record and verify all payment activity in Company systems with consistency and accuracy Monitor insurance and retail collection timelines, identify bottlenecks, and take corrective action to meet targets Qualify inbound leads and convert marketing-qualified leads into sales-qualified opportunities for the sales team Accurately document all lead information, payment data, and customer interactions in the CRM Coordinate customer review follow-up processes to support monthly review performance targets Coordinate fleet maintenance scheduling and ensure documentation compliance Perform other duties as assigned Requirements Minimum of 1 year of experience in an office, administrative, customer service, collections, or billing role (required) Strong verbal and written communication skills High attention to detail with a commitment to accuracy in documentation and data entry Self-motivated with the ability to manage competing priorities without being micromanaged Comfortable with CRM platforms, invoicing tools, and standard business software Customer-focused with a professional and composed demeanor under pressure Ownership mindset — you follow through and take accountability for your results Coachable and genuinely open to feedback and development No formal education requirement — we hire based on capability and drive Compensation and Benefits Competitive base salary commensurate with experience Monthly performance-based incentive compensation — high performers have the opportunity to meaningfully increase their total earnings Growth and promotion opportunities — we promote from within and invest in our people Paid training and onboarding Full-Time | W2 | In-Office — Lehi, Utah (remote work not available) Commitment to Diversity As an equal opportunity employer committed to meeting the needs of a multigenerational and multicultural workforce, Dynamite Roofing recognizes that a diverse staff, reflective of our community, is an integral and welcome part of a successful and ethical business.
