Full Job Description Position Overview:
This role is responsible for managing office operations and supporting active construction projects. You will be working directly with ownership, field crews, subcontractors, and clients to keep jobs organized, documented, and moving forward.
Key Responsibilities:
Manage daily office operations and communication (calls, emails, scheduling) Prepare and track estimates, proposals, and project documentation Handle invoicing, accounts payable/receivable, and lien documentation Collect and manage subcontractor paperwork (W-9s, COIs, contracts, licenses) Assist with project coordination, scheduling, and progress tracking Organize and maintain job files, permits, and compliance documents Support bank draw processes (collecting invoices, photos, and documentation) Coordinate with suppliers, subcontractors, and clients Assist with payroll and internal tracking as needed Requirements (Must Have): Prior experience in a construction office or project admin role Strong understanding of construction workflows and documentation Experience handling subcontractor compliance (COIs, W-9s, contracts) Familiar with invoicing, job costing, and basic bookkeeping Proficient in Microsoft Office (Excel, Word, Outlook) Highly organized, detail-oriented, and able to manage multiple projects Strong communication skills and ability to work in a fast-paced environment Preferred (Strongly Considered): Experience with QuickBooks or similar accounting software Familiarity with construction scheduling and project tracking Experience working with GCs, subs, and permitting processes
Compensation:
Pay:
$24 - $30/hr (DOE) Benefits available after 90 days (PTO, sick pay, health, dental & vision) Opportunity for long-term growth with a growing company
