This vital role combines administrative expertise with office management skills to ensure smooth daily operations and exceptional support for our staff and clients. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to juggle multiple responsibilities efficiently. This paid position offers an exciting opportunity to contribute to a vibrant workplace environment while developing your professional skills. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems, handle incoming calls, and provide exceptional customer service support Oversee office supplies inventory, place orders, and maintain organized filing systems for documents and records Perform data entry tasks using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record keeping Assist with clerical duties such as handling documents appropriately, proofreading documents, preparing correspondence, and managing mail distribution Support office management activities including organizing files, maintaining office equipment, and ensuring a clean, efficient workspace Own financial processes, project coordination, and office operations Skills Highly organized, strong communicator, self-directed problem solver Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently Excellent computer literacy and familiarity with QuickBooks and other office management software Previous experience in office administration, clerical work, or customer service roles is preferred Knowledge of phone etiquette, multi-line phone systems, and data entry procedures Demonstrated ability to handle confidential information discreetly and professionally Ability to improve systems Join us to be part of a strong team environment that values efficiency, professionalism, and positive communication.
