Office Manager Job Overview We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our administrative environment. The ideal candidate will possess strong leadership skills, exceptional organizational abilities, and a comprehensive understanding of office management practices. As Office Manager, you will coordinate administrative functions, support staff, and ensure the smooth functioning of office activities. Your role is vital in fostering an efficient, welcoming, and productive workplace that supports our organizational goals. Responsibilities Manage front desk operations, including greeting visitors, handling inquiries, and maintaining a professional reception area. Oversee multi-line phone systems to ensure prompt and courteous communication with clients, vendors, and staff. Maintain office supplies inventory, manage procurement processes, and coordinate equipment maintenance to ensure operational efficiency. Utilize software such as Microsoft Office, Google Workspace, and QuickBooks for data entry, record keeping, and basic bookkeeping tasks. Organize and maintain filing systems—both physical and digital—to ensure easy retrieval of documents and compliance with record retention policies. Support calendar management for executives and team members by scheduling appointments, meetings, and conference calls. Assist with clerical duties including proofreading documents, preparing reports, and managing correspondence to uphold high standards of accuracy. Provide exceptional customer service by addressing inquiries professionally and supporting internal teams with administrative needs. Supervise administrative staff or temporary personnel as needed to foster a collaborative team environment. Ensure adherence to office policies regarding phone etiquette, confidentiality, and data security. Experience Proven experience in office management or administrative roles within a professional environment. Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and QuickBooks accounting software. Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting. Excellent communication skills—both verbal and written—and proficiency in bilingual communication is a plus. Experience handling front desk responsibilities such as multi-line phone systems and customer support is highly desirable. Background in clerical tasks such as data entry, filing, proofreading, and calendar management. Prior experience in medical or dental reception is advantageous but not mandatory; familiarity with healthcare-related administrative procedures is beneficial. Knowledge of office procedures including bookkeeping or basic financial recordkeeping enhances suitability for this role. Benefits:
$65,000-$75,000 based on experience. Full Medical, vision, dental, 401K 2 Weeks PTO days
