Summary We are seeking a highly organized, proactive, and detail-oriented Office Operations Manager to oversee the day-to-day administrative and operational functions of our business. This role will directly support company leadership by coordinating office operations, managing administrative responsibilities, handling customer and vendor communication, assisting with staffing and scheduling, and ensuring business operations continue running efficiently and professionally. The ideal candidate is technically proficient, solution-oriented, professional, and capable of thriving in a fast-paced business environment where adaptability, communication, and follow-through are essential. Key Responsibilities Manage day-to-day office and operational activities for the business Manage the Principal's calendar, scheduling, and operational coordination Answer and manage incoming calls, emails, customer inquiries, vendor communication, and operational support requests Greet and assist guests, clients, vendors, and business partners in a professional manner Monitor and respond to customer concerns, complaints, operational emergencies, and technical support inquiries Coordinate hiring, onboarding, scheduling, and general staff support Assist with payroll coordination and administrative human resources tasks Maintain outstanding invoices, monitor incoming payments and revenue, and ensure customer payments are collected on time Ensure partners, vendors, and operational expenses are paid accurately and on schedule Assist with bookkeeping, expense tracking, and operational organization Coordinate special event valet parking operations and related logistics Manage operational logistics, scheduling, and communication across multiple business activities Order office supplies, merchandise, uniforms, operational materials, and other operational necessities Maintain organized business records, permits, insurance documentation, contracts, and operational files Assist with troubleshooting technology, operational systems, office equipment, and software platforms Assist with creating marketing materials, flyers, branded content, or company announcements as needed Maintain organization across digital systems, files, spreadsheets, and operational tracking documents Coordinate with vendors, clients, contractors, and operational partners as needed Assist company leadership with operational projects, process improvements, and special assignments Maintain a professional, organized, and efficient office environment at all times Perform additional administrative, operational, and business support duties as assigned based on company needs Requirements Minimum of 3 years of experience in office management, operations coordination, executive support, or a related administrative role Strong organizational skills with exceptional attention to detail Ability to multitask, prioritize responsibilities, and manage shifting priorities in a fast-paced business environment Excellent written and verbal communication skills Strong problem-solving skills with the ability to work proactively and independently with minimal supervision Technically proficient and comfortable learning new software platforms and operational systems Proficient in Microsoft Outlook, Excel, Word, and general office technology Comfortable working both independently and collaboratively with company leadership, staff, vendors, and clients Professional demeanor with strong customer service and interpersonal skills Ability to maintain confidentiality regarding company operations, finances, and internal matters Highly reliable, punctual, and responsive Experience with scheduling, invoicing, bookkeeping support, payroll coordination, or CRM platforms is preferred Experience in operations, hospitality, parking management, logistics, or service-based industries is preferred This role is ideal for a highly organized, proactive, and dependable professional who takes pride in supporting efficient and effective business operations.
