POSITION SUMMARY
The Administrative Coordinator will be a highly organized, detail-oriented, and proactive individual who is passionate about supporting a mission-driven nonprofit. This part-time role will play a key role in ensuring the day-to-day administrative operations of Virginia Women and Family Support Center run smoothly and efficiently. The Administrative Coordinator will support internal systems, communications, scheduling, and general office operations while assisting multiple departments as needed. This position is ideal for someone who thrives in a fast-paced environment, enjoys keeping things organized, and wants to be part of meaningful work that directly impacts women and children experiencing homelessness. This is a 20-hour per week part-time position that reports directly to the Executive Director.
ESSENTIAL FUNCTION/RESPONSIBILITIES
(include, but are not limited to) Administrative Support 50% Manage daily administrative operations to ensure efficiency across the organization Maintain organized digital and physical filing systems Assist with scheduling meetings, appointments, and organizational events Support internal communications and coordination across departments Prepare documents, reports, and presentations as needed Monitor and respond to general email and phone inquiries Order and maintain office supplies and inventory Operations & Coordination 30% Assist in coordinating logistics for programs, events, and meetings Support volunteer coordination efforts including scheduling and communication Help maintain calendars for organizational activities and key deadlines Work with staff to ensure timely completion of projects and administrative needs Provide support for special projects and organizational initiatives Data & Systems Management 15% Enter and maintain accurate data across internal systems and databases Assist with tracking key organizational metrics and reporting Maintain confidentiality and integrity of organizational records Support basic database management tasks as needed Other Responsibilities - 5% Provide energy, professionalism, and commitment to VAWFSC's mission, values, and integrity Assist with general administrative duties as needed Be available and willing to perform other tasks as assigned
QUALIFICATIONS AND EXPERIENCE
Strong organizational skills with exceptional attention to detail Excellent written and verbal communication skills Ability to manage multiple tasks, prioritize effectively, and meet deadlines Self-motivated, reliable, and able to work independently with minimal supervision Strong interpersonal skills and ability to work collaboratively across teams High level of professionalism, discretion, and confidentiality Comfortable in a fast-paced, mission-driven environment Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar) Experience with administrative support, office coordination, or similar roles preferred Experience working in a nonprofit environment is a plus

REQUIREMENTS
High school diploma required; Associate's or Bachelor's degree preferred Minimum of 1-2 years of administrative or office support experience Proficient in Google Suites and general office tools Comfortable working both independently and as part of a team Ability to multitask in a busy environment A passion for the organization's mission Must pass a background check
