Job Description

Office Manager Orleans Co Tree Service - Petersburg, VA Area Full-Time $55,000-$70,000 per year DOE Orleans Co Tree Service is a growing, professional tree care company serving the Richmond, Chester, and Petersburg areas. We are seeking an experienced Office Manager to help oversee daily office functions, customer communication, scheduling sales appointments, invoicing, collections, reporting, and administrative operations. This position is ideal for someone with prior experience working in a fast-paced service-based business such as construction, landscaping, tree care, trucking, HVAC, plumbing, or similar industries. We are looking for someone who is dependable, highly organized, professional, and able to communicate effectively with both customers and employees. The right candidate will help build structure, organization, and consistency within the office while supporting the continued growth of the company. Responsibilities Answer incoming customer calls and emails Coordinate scheduling and office workflow Support sales team and other division managers Handle invoicing, accounts receivable, collections, and payment tracking Process and maintain organized customer and job records Pull reports related to expenses, income, job costing, and operational performance Assist with customer communication and job follow-up Maintain organized office systems and administrative records Help improve office efficiency and internal communication Qualifications Previous office management or administrative experience required Accounting and bookkeeping experience strongly preferred Experience with invoicing, AR, collections, and reporting Strong customer service and communication skills Ability to multitask and stay organized in a fast-paced environment Strong attention to detail and follow-through Professional and team-oriented attitude Proficient with: QuickBooks Microsoft Excel Microsoft Word Adobe Acrobat SingleOps CRM Preferred Experience Service-industry office experience Construction or operations office background Scheduling and dispatch coordination Job costing or operational reporting Customer account management This position requires someone who can prioritize quickly, adapt to changing schedules, and help keep operations moving efficiently in a fast-paced field service environment. And Coordinate permits, utility locate requests (811), and administrative job documentation as needed.
