EXPERIENCE A
minimum of 5 years administrative experience. Experience organizing and managing large quantities of files and records. Proficiency with MS Office program and ability to create spreadsheets and databases with Excel. Strong ability to take initiative. Strong organizational skills and ability to self-direct. Ability to meet deadlines. Ability to maintain confidentiality. Ability to react to change productively and handle other essential tasks as assigned. Ability to prioritize, multi-task, and produce high quality and accurate work.
ESSENTIAL DUTIES AND RESPONSIBILITIES
include but are not limited to the following: Greet all guests professionally. Assist with the answering of phone lines professionally; evaluate caller needs/direct to appropriate administrative staff. Monitor and order supplies (stationery, IT), and manage vendors as needed.
Manage Facility needs:
Coordinate with IT for equipment, manage office layout, and address facility issues. Manage budgets, accounts payable, process invoices, and handle bills monthly. Provide comprehensive support to administrative staff , including calendar management, scheduling, and meeting coordination. Prepare, edit, and proofread correspondence, reports, presentations and other documents. Coordinate communication between the CEO and internal/external stakeholders. Manage CEO calendar and scheduling. Support the preparation and follow-up of executive and leadership meetings. Assist with special projects and strategic initiatives as directed by the
CEO. COMPANY STANDARDS
