Office Manager / Operations Coordinator The Body Mechanic Salem, VA Job Details Part-time | Full-time $18 - $22 an hour 5 hours ago Benefits Employee discount Flexible schedule Qualifications Customer communication Administrative experience within healthcare Administrative experience Attention to detail Patience Full Job Description About The Body Mechanic The Body Mechanic is a growing holistic pain relief center focused on therapeutic massage, neuromuscular pain relief, movement restoration, recovery support, and wellness-based care. Our clinic works with a wide range of clients, including chronic pain patients, injury recovery clients, and VA Community Care referrals. As we continue to expand, we are looking for a highly organized, dependable Office Manager / Operations Coordinator to help support daily clinic operations and maintain structure within a fast-moving healthcare environment. This is not a passive desk job. We need someone who can think ahead, solve problems, communicate professionally, and help keep both the clinic and staff functioning efficiently throughout the day. Responsibilities Manage day-to-day office operations and administrative support Coordinate scheduling, intake paperwork, referrals, and client communication Assist with VA Community Care administrative workflows and tracking Maintain organization of digital and physical records Answer phones, emails, and messages professionally and efficiently Assist with therapist scheduling and daily clinic logistics Monitor clinic flow and help proactively solve operational bottlenecks Report directly to the Owner and Medical Director regarding workflow, scheduling, operational concerns, and client experience issues Help maintain a healthy, organized, and efficient work environment for therapists and staff Coordinate workflow pacing, breaks, and staff support during busy treatment days Assist with inventory, office supplies, and clinic organization Help implement new systems, policies, and operational procedures as the business grows Assist with event coordination, promotions, and community outreach as needed Support billing, invoicing, and administrative follow-up tasks when necessary Ideal Candidate We are looking for someone who: Is highly organized and detail-oriented Takes ownership of problems and helps create solutions Communicates professionally and confidently Can multitask in a busy environment without becoming overwhelmed Learns systems and workflows quickly Works well with both clients and clinical staff Understands professionalism, confidentiality, and accountability Is dependable, proactive, and calm under pressure Wants to help build and support a growing healthcare and wellness business Preferred Experience Office management or administrative experience Medical office, chiropractic, therapy, or wellness office experience preferred Experience with scheduling software, spreadsheets, and email systems Insurance or healthcare paperwork experience is a major plus Customer service and team coordination experience strongly preferred What Makes This Position Different At The Body Mechanic, we genuinely help people who are struggling with chronic pain and physical limitations.
