We pride ourselves on top-notch craftsmanship, prompt service, and ultimate customer satisfaction. We are looking for an organized, detail-oriented Office Manager to keep our daily operations running seamlessly. Position Summary As the Office Manager at JBE Services, LLC, you will act as the operational backbone of our business. You will balance day-to-day administrative tasks, customer communication, scheduling, and bookkeeping to ensure our field technicians have the support they need to succeed. Ultimately, your work will directly drive our company's efficiency and client trust.
Key Responsibilities Dispatching & Scheduling:
Manage the daily schedules of electrical and HVAC technicians to optimize routes, maximize productivity, and avoid scheduling conflicts.
Customer Service:
Act as the first point of contact for clients, handling service inquiries, providing estimates, and ensuring client satisfaction over the phone and via email.
Billing & Bookkeeping:
Process work orders, create and send invoices, manage accounts receivable/payable, and assist with payroll preparation.
Office Administration:
Maintain accurate digital and physical filing systems, order necessary office supplies, and oversee equipment inventories.
Technician Support:
Assist field teams with material ordering, permit requests, and job-site documentation.
Qualifications & Skills Experience:
3+ years of administrative experience, preferably in a fast-paced trade industry (e.g., HVAC, electrical, or plumbing).
Technical Proficiency:
Proficiency in Microsoft Office (Word, Excel) and experience using field service management/scheduling software (e.g., ServiceTitan, Housecall Pro, or QuickBooks).
Organization & Multitasking:
Exceptional ability to manage multiple projects, prioritize tasks, and adapt to changing conditions in a fast-paced environment.
Communication Skills:
Strong, clear, and professional written and verbal communication skills.
Problem-Solving:
Proactive mindset with a knack for anticipating issues and resolving them quickly.
Bilingual:
Speak and write
English & Spanish Pay Rate:
Hourly Pay, $20
  • 25/hour, depending on experience.
Schedule:
Work Schedule, Monday-Friday, 7:00 AM to 4:00
