Job Description

Job Summary We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the heartbeat of our office operations, ensuring smooth daily functions and providing exceptional support to staff, clients, and visitors. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly. Oversee calendar management and scheduling for meetings, appointments, and events using tools like Google Workspace and Microsoft Office. Perform data entry, filing, and proofreading tasks to maintain accurate records and ensure document quality. Utilize computer skills including Microsoft Office Suite, Google Workspace, Wordperfect and Sage (formerly Peachtree) Accounting for Construction for bookkeeping, invoicing, and administrative tasks. Coordinate office management duties such as supply ordering, maintaining cleanliness, organizing files, and supporting clerical functions like typing and document preparation with a keen attention to detail. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry software. Experience with Sage (formerly Peachtree) Accounting for Construction or similar bookkeeping tools is highly desirable. Project assistance preparing contracts and change orders with great attention to detail and accuracy, prepare submittals, obtain dig safe permits, seek pricing from vendors and subcontractors, organize job files. Submit payroll to payroll service, post payroll to general ledger. Human resource duties including log employee vacation/sick/personal time off, health insurance, labor law postings, and retirement plan. Maintain company vehicle and equipment registrations, inspections, permits and log equipment/vehicle repairs. Join us in creating an organized, efficient workspace where your skills can shine!
