ABOUT NW SOFTWASH NW
Softwash is a locally owned exterior cleaning company serving Clark County, Vancouver, Battle Ground, and the Portland Metro area. We specialize in roof cleaning, gutter cleaning, house washing, pressure washing, and window cleaning. We have grown by doing simple things really well. ABOUT THE ROLE
We are hiring an Office Manager and Executive Assistant to support the owner and help lead the daily rhythm of the office. This is not a basic admin role. This person will be trusted with important details, sensitive information, payroll, owner email support, customer communication, IRS and government notices, office systems, and leadership of our customer service team. The right person is organized, calm, proactive, and able to bring order to a fast moving business. You will help protect the owner's time, keep priorities moving, support the office team, and make sure important details do not fall through the cracks. As the company grows, this role has the opportunity to grow into a deeper leadership position.
CORE RESPONSIBILITIES EXECUTIVE SUPPORT
Help manage the owner's email, calendar, reminders, and priorities Organize business mail, important documents, and paperwork Track important follow ups, commitments, and deadlines Handle sensitive information with discretion and confidentiality Help reduce distractions so the owner can stay focused on the highest value work
OFFICE LEADERSHIP
Lead and support our (currently) small CSR team Help coach, train, and develop office staff as the team grows Oversee daily office workflow and make sure customers are being taken care of quickly and professionally Help improve systems, communication, and accountability inside the office Keep the office organized, clean, professional, and running smoothly
PAYROLL, ADMIN, AND COMPLIANCE
Process or help manage payroll accurately and on time Help organize employee paperwork, notices, forms, and internal records Monitor and help respond to IRS notices, state notices, business mail, and other important documents Work with vendors, accountants, payroll providers, and leadership as needed Help keep company paperwork organized and easy to find
CUSTOMER EXPERIENCE AND SCHEDULING
Support the office team in scheduling estimates and jobs Help make sure customers receive clear communication from start to finish Help protect and improve the company's reputation Work closely with operations to keep the customer experience smooth
BUSINESS AND OPERATIONS SUPPORT
Help with accounts receivable and unpaid customer balances Support basic QuickBooks related tasks as needed Help document office systems and standard operating procedures Identify ways to make the business more organized, efficient, and professional Support hiring, onboarding, training, and internal communication as the company grows

You are someone who notices the details other people miss. You are calm under pressure, organized, and dependable. You do not need constant direction to be useful. You can see what needs to be done, prioritize what matters, and communicate clearly when something needs attention. You are comfortable working close to the owner and handling private business information. You understand that trust, judgment, and follow through matter just as much as skill. You like structure, clean systems, clear communication, and getting things finished.
SKILLS AND EXPERIENCE
Experience in office management, executive assistant work, operations support, payroll, or a similar administrative leadership role Strong written and verbal communication skills Comfortable using email, calendars, documents, spreadsheets, and business software Able to manage multiple priorities without losing important details High level of discretion, judgment, and personal integrity Experience leading or supporting office staff is preferred Payroll experience is strongly preferred QuickBooks experience is a plus Home service, construction, trades, or service business experience is a plus This role is best for someone who has already proven they can manage responsibility, protect confidential information, and keep a business organized. BASICS Full time position In person role based in Battle Ground, Washington Typical schedule is Monday through Friday during normal business hours Some flexibility may be needed during busy seasons, payroll weeks, hiring needs, or important business deadlines Reports directly to the owner
COMPENSATION AND BENEFITS
Compensation:
$75,000 to $90,000 per year, based on experience and fit.
