This vital role ensures smooth administrative workflows, exceptional customer service, and efficient management of office resources. The ideal candidate will possess strong multitasking abilities, excellent communication skills, and a proactive attitude to foster a productive and welcoming workplace. As an Office Manager, you will be the backbone of our administrative team, supporting staff and clients alike with professionalism and enthusiasm. Responsibilities Oversee front desk operations, greeting visitors and managing multi-line phone systems with courteous phone etiquette. Maintain organized filing systems, manage data entry tasks, and ensure accurate record keeping using tools like Microsoft Office and Google Workspace. Handle calendar management for meetings, appointments, and events, coordinating schedules efficiently. Manage office supplies inventory, place orders as needed, and ensure the office remains well-stocked and functional. Provide exceptional customer support by assisting clients, answering inquiries, and offering support via phone or in person. Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices. Assist with clerical duties such as proofreading documents, preparing reports, and managing correspondence. Coordinate with vendors, service providers, and internal teams to facilitate smooth office operations. Maintain a professional environment by ensuring adherence to office policies and fostering positive communication among staff. Experience Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service. Familiarity with multi-line phone systems, front desk procedures, and professional phone etiquette. Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Experience handling data entry, filing systems, bookkeeping (preferably QuickBooks), and basic bookkeeping tasks. Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members. Prior experience as a medical or dental receptionist or personal assistant is advantageous. Strong organizational skills with the ability to prioritize tasks efficiently while managing multiple responsibilities simultaneously. Excellent computer literacy skills combined with time management expertise to meet deadlines consistently.
