Full-time Position Description:
The Office Manager serves as the operational anchor of the Shelter Operations front office environment at Lighthouse Mission Ministries (LMM). This role oversees the daily operations, organization, communication, and professionalism of the front office while helping create a welcoming, stable, and relational environment for residents, staff, community partners, volunteers, and guests. The Office Manager will take ownership of front office systems and administrative coordination while supporting Shelter Operations leadership through proactive problem-solving, communication management, organization, and operational continuity. This position plays a critical role in ensuring the front office environment reflects the mission, values, and hospitality of Lighthouse Mission Ministries while helping reduce operational strain and improve consistency across departments. Responsibilities:
Serve as a welcoming and relational first point of contact for residents, guests, volunteers, community partners, outside agencies, and staff while maintaining appropriate professional boundaries and communication. Assist in maintaining effective communication flow between Shelter Operations, Case Management, Intake, Leadership, volunteers, and outside agencies. Support Shelter Operations leadership through administrative coordination, scheduling support, organization, supply management, documentation systems, and operational problem-solving. Maintain front office organization, including forms, resource materials, calendars, communication boards, office supplies, sign-up systems, mail systems, and other administrative processes. Help ensure consistency and continuity within front office operations by assisting with the development and maintenance of systems, procedures, and workflows. Assist with coordinating desk coverage, front office expectations, and training support for volunteers, interns, and support staff as assigned. Maintain timely and accurate documentation, communication logs, supply requests, scheduling coordination, and other operational tracking systems as directed. Respond calmly and professionally to crises, resident concerns, building disruptions, and unexpected operational needs while utilizing proper chain of command and communication. Collaborate with Shelter Operations staff and leadership to maintain a safe, welcoming, organized, and mission-driven environment throughout the building. Work closely with community partners and outside agencies, including hospitals, treatment providers, Opportunity Council, law enforcement, behavioral health providers, and other service organizations as needed. Maintain confidentiality and exercise sound judgment regarding sensitive resident, staff, and organizational information. Participate in staff meetings, trainings, organizational initiatives, and ongoing professional development opportunities. Offer prayer, support, and relational care to residents and staff as appropriate within the mission and values of Lighthouse Mission Ministries. Embrace and use LMM's grace-based accountability philosophy. Additional duties as assigned.
Organizational Relationships:
Works alongside a team of Shelter Operations staff, Case Managers, volunteers, interns, and leadership. Represents Lighthouse Mission Ministries to residents, community partners, outside agencies, and LMM residents. Reports directly to the Director of Shelter Operations. Provides coordination and operational support to Shelter Operations and related departments as assigned.
Qualifications:
The ideal candidate will have a combination of education, life, and work experience that demonstrates the ability to fulfill all aspects of the job description. To include 2+ years of applicable education and/ or training and 2+ years of directly related experience in ministry, shelter, social services or similar. Preference given to candidates with applicable administrative, operations, hospitality, ministry, nonprofit, shelter, or social service experience. Strong organizational and administrative skills with the ability to manage multiple competing priorities in a fast-paced environment. Strong interpersonal communication skills with the ability to build rapport and maintain professionalism with residents, staff, volunteers, community partners, and outside agencies. Ability to take initiative, solve problems proactively, and create or improve systems that increase operational effectiveness and consistency. Ability to maintain calm, professionalism, and sound judgment during crisis situations, conflict, or high-stress interactions. High boundary-setting, self-awareness, discretion, and emotional intelligence skills required. Ability to work both independently and collaboratively while maintaining flexibility and adaptability. Knowledge of homelessness, poverty, addiction, trauma, mental health, and recovery systems preferred. Sensitivity to cultural diversity in all forms is required. A passion for serving Jesus and making the Gospel known through mercy ministry. The successful candidate will have an active church/prayer life and be in agreement with the Lighthouse Mission's Statement of Faith and Personal Covenant. Ability to use Microsoft Word, Excel, Gmail, Google Calendar, and other basic office and communication systems effectively. Ability to successfully pass pre-employment criminal background screenings and comply with Lighthouse Mission Ministries' drug-free workplace policies.
