Job Description

Overview We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role ensures the smooth and efficient operation of our office environment, supporting daily administrative functions, managing communication channels, and providing exceptional customer service. Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems, handle incoming calls, and route messages efficiently Maintain organized filing systems, including digital documents via Google Workspace and Microsoft Office applications Perform data entry and bookkeeping tasks using QuickBooks and other accounting tools Schedule appointments, manage calendars, and coordinate meetings for staff and executives Support office management activities such as supply ordering, inventory tracking, and facility maintenance Provide customer support by addressing inquiries promptly and professionally, ensuring positive interactions at all times Assist with clerical tasks such as proofreading documents, preparing reports, and maintaining accurate records Facilitate communication between departments by managing correspondence and internal documentation Support personal assistant duties when needed, including travel arrangements or special project coordination Experience Proven experience in office administration or clerical roles with a strong background in office management Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Experience handling multi-line phone systems and providing excellent phone etiquette in a professional setting Bilingual abilities are highly desirable to serve diverse client needs effectively Familiarity with QuickBooks for bookkeeping and financial record-keeping is preferred Prior experience as a dental or medical receptionist is a plus, showcasing familiarity with healthcare environments Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively Excellent written communication skills for proofreading and composing professional correspondence Personal assistant experience or calendar management skills are advantageous for supporting executive needs Demonstrated ability to handle customer service interactions with professionalism and patience Join us as an Office Administrator to be the backbone of our operations!
