Job Description

Overview We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role involves managing administrative tasks, supporting daily office functions, and providing exceptional customer service to visitors and staff alike. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to juggle multiple responsibilities efficiently. As an Office Administrator, you will be the backbone of our office operations, fostering a welcoming atmosphere and maintaining organizational excellence. In this position you work directly with the General Manager to optimize office operations by managing daily tasks and assignments, ensuring an efficient workflow, and creating a productive work environment. Responsibilities (but not limited to) Maintain a professional attitude with Members, Guests, Vendors and Staff Read and understand The Glens Covenant, Bylaw, Administration, ACB and Personnel manuals. Be ready to answer questions with kindness and eagerness to help. Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using professional phone etiquette Handle data entry, filing, and recordkeeping using Microsoft Office, Google Workspace, and other office management tools Support clerical duties such as proofreading documents, preparing correspondence, Oversee office supplies inventory and coordinate procurement to ensure operational continuity and purchasing needed in other departments Complete BOD Meeting minutes and assist Manager in Directors meeting preparation Maintain the collection process Must work weekends. Tuesday and Wednesday office is closed Qualifications Proven experience in office management or administrative roles with a strong background in clerical tasks, customer service and accounting duties Proven experience in customer service, including cash handling, accounts receivable and bank deposits Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy skills Three years of experience with QuickBooks Online Basic Accounting Education or equivalent work experience Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Strong typing skills combined with attention to detail for proofreading and data entry tasks Knowledge of multi-line phone systems, calendar management, and office procedures Join us as an Office Administrator to be an essential part of our vibrant team!
