Office & Communications ManagerRole Overview We are looking for a versatile Office & Communications Manager to support our Construction Manager in both the "back office" and the "front window" of our business. You will be responsible for everything from balancing the books and typing up project estimates to keeping our online presence active and professional. Key Responsibilities1.
Estimating & Project Support Estimate Preparation:
Transform rough field notes and sketches from the Construction Manager into professional, polished estimates and proposals for clients.
Bid Tracking:
Maintain a log of pending estimates and follow up with potential clients to ensure timely responses. 2.
Financial & Bookkeeping Daily Bookkeeping:
Manage accounts payable/receivable, reconcile bank statements, and track project expenses.
Invoicing:
Ensure clients are billed accurately based on project milestones and follow up on any overdue payments.
Payroll Support:
Collect timecards from field crews and process weekly payroll. 3.
Digital Marketing & Brand Growth Social Media Management:
Capture photos of active job sites (or coordinate with the crew to get them) and post regular updates to Instagram, Facebook, and LinkedIn.
Website Content:
Write and publish monthly blog posts highlighting recent projects, construction tips, or company news to improve our SEO and client engagement.
Review Management:
Encourage satisfied clients to leave reviews and respond professionally to online inquiries. 4. Administrative Operations Manage all incoming emails and phone calls, acting as the primary gatekeeper for the Construction Manager. Organize and maintain digital filing systems for permits, contracts, and insurance certificates. Order office supplies and ensure the home base is running smoothly. Required Skills & Qualifications The "Generalist"
Mindset:
You must be comfortable switching from a spreadsheet to a social media caption in the same hour.
Technical Proficiency:
Finance:
Experience with QuickBooks or Xero.
Creative:
Familiarity with Canva (for social posts) and WordPress or similar (for blog updates).
Productivity:
Mastery of Microsoft Word and Excel.
Writing Skills:
Strong command of grammar and tone; you can write a technical estimate and an engaging blog post with equal ease.
Construction Literacy:
Previous experience in the trades is a significant advantage—you should know the difference between a submittal and a change order.
Pay:
$26.51 - $31.93 per hour
