Full-time, Monday through Friday (8:30 AM to 5 PM) About ICG ICG is a multifamily investment company based in Seattle, WA, founded in 2001. ICG's Principals and senior staff have decades of experience in the apartment business. Between 2001 and 2026, ICG has purchased over 110 apartment communities totaling over 19,000 apartment units with an acquisition value over $2 billion. Approximately three-quarters of these have sold, going full circle on their business plans, and generating investment returns averaging over 20% per year to investors. Position Available Now, Seeking to Hire July 2026 This position is open due to the upcoming relocation of our long-term Office Manager/Executive Assistant, who is moving out of state for family reasons. To ensure a seamless transition and continuity of operations, our departing team member has agreed to remain on board temporarily to provide hands-on training to the incoming hire. Position Overview The Office Manager & Executive Assistant is a critical operational role responsible for driving administrative efficiency and maintaining seamless daily operations. This hybrid position acts as a centralized force across three key pillars: high-level administrative support for multiple executives, physical office and facilities management, and internal IT coordination. The ideal candidate is a highly organized, proactive professional capable of managing competing priorities, overseeing vendor and budgetary lifecycles, and acting as the primary point of contact for internal technology and workplace logistics. Key Responsibilities 1. Office Management & Administration Daily Operations:
Maintain a clean, organized, and fully stocked office environment; oversee office maintenance and repairs. Budgeting:
Manage the office and administrative budget, tracking expenses and optimizing spend. Vendor & Contract Management:
Serve as the primary point of contact for office vendors (landlord, cleaning services, utilities, snacks/coffee) and negotiate contracts. Culture & Events:
Coordinate office catering, team lunches, and special events. HR Support:
Assist with the logistics of onboarding new hires and offboarding departing employees. 2. IT Coordination & Tech Support First-Level IT Support:
Act as the first line of defense for basic, internal IT troubleshooting (e.g., Wi-Fi issues, printer setups, basic software access). System Integration & Projects:
Manage or assist with IT-related projects, such as migrating to new software platforms or upgrading office tech. IT Budget & Purchasing:
Manage the IT budget; plan for and purchase hardware, software licenses, and tech equipment. IT Vendor & Contract Management:
Serve as primary point of contact for IT vendors (IT Consultant, Internet, Phones, Mail Machine, Copiers etc.) and negotiate contracts. Training:
Conduct basic tech training and tutorials for team members on company systems and tools. 3. Executive Support & Project Coordination Task & Project Management:
Provide ad-hoc project support to executives, ensuring deadlines are met and tasks are tracked efficiently. Meeting & Calendar Support:
Assist with meeting preparation, agendas, note-taking, and tracking follow-up action items. Manage multiple calendars, resolving scheduling conflicts proactively. Travel & Logistics:
Coordinate seamless domestic and international travel arrangements, including flights, hotels, and itineraries. What We're Looking For Experience:
3+ years of experience in an Executive Assistant, Office Manager, or Operations role (experience in Real Estate, Finance, Investment Management industries is a major plus). Tech Savvy:
Strong familiarity with productivity tools (e.g., Microsoft 365, Egnyte, Adobe Acrobat, Zoom). Comfort with troubleshooting basic hardware/software issues and managing software licenses. Organized:
Exceptional time-management skills with a proven ability to prioritize tasks while working on multiple projects Communication:
Stellar written and verbal communication skills; ability to interact professionally with executives, vendors, and clients alike. Discretion:
Proven ability to handle confidential information with the utmost discretion and professionalism. Attitude:
