This position supports a collaborative, community-focused, and relationship-driven office where no two days are exactly alike, and the work includes a thoughtful mix of recurring responsibilities and day-to-day support needs. The ideal candidate enjoys variety, takes initiative, communicates clearly, and brings both professionalism and a sense of humor to their work. This role is best suited for someone with prior office administration experience who is comfortable managing ongoing administrative responsibilities independently in a small office environment. While the position touches many aspects of the organization, the overall workload is manageable and well-suited for someone who values being part of a close-knit, mission-driven team. The position requires strong administrative, organizational, and basic financial coordination skills, along with the ability to work collaboratively and adapt as priorities shift.
DUTIES & RESPONSIBILITIES
Daily Operations Management The Office Administrator oversees the day-to-day administrative and operational functions of the
SODO BIA
office including: Maintaining office systems, supplies, files, records, contracts, leases, subscriptions, and coordination with IT vendors. Supporting routine financial administration in coordination with the bookkeeper and Executive team, including invoicing, check processing, and grant tracking support. Supporting HR related processes, including onboarding paperwork, employee records, benefits coordination, and compliance documentation. Maintaining accurate records across CRM and team task management platforms. Building and maintaining professional relationships with business and property owners, city departments and program contractors to provide responsive communication and access to district resources. Assisting with special projects and other administrative support tasks as needed. Executive Director & Team Support As the first point of contact for the organization, the Office Administrator helps manage telephone and email correspondence from ratepayers, board members and the public. This role also provides administrative support to the Executive Director and team, including: Managing scheduling and calendar coordination for the Executive Director. Coordinating staff meetings and tracking follow-up actions through team task management software. Supporting the Board of Directors by scheduling meetings, preparing agendas and materials using board management software, coordinating meeting logistics, and recording and distributing meeting minutes. Coordinating travel arrangements for staff attending conferences and meetings.
WHO YOU ARE
Highly organized and adaptable, with the ability to shift priorities as needed. Comfortable serving as the central point of coordination helps keep office systems, communications, and day-to-day operations running smoothly. Confident interacting with business owners, public officials, board members, contractors, and community stakeholders. Professional and discreet when handling financial and personnel information. Collaborative, solutions-oriented, and willing to support the team where needed. Serious about your work, but able to laugh at yourself.
QUALIFICATIONS
The successful candidate will bring: 5+ years of administrative support experience, preferably in a small nonprofit, public sector, or mission-driven organization. Experience supporting executive leadership and/or boards of directors. Ability to work independently and manage recurring responsibilities with minimal oversight Strong verbal and written communication skills. Excellent organizational skills and attention to detail, with the ability to prioritize tasks and manage deadlines. Experience providing professional and responsive customer or constituent service across a variety of stakeholder groups. Strong interpersonal skills, sound judgement and diplomacy. Bachelor's Degree or equivalent professional experience preferred.
SYSTEMS & TOOLS
Experience with the following systems is strongly preferred: Bookkeeping software (QuickBooks, or similar) CRM platforms (Salesforce, HubSpot, Zoho, or similar) Work management software (Asana, Monday, Smartsheet or similar)
