Greater American Construction About the Role We are an established residential construction company seeking a detail-oriented Office Administrator to support daily operations and reduce administrative workload on ownership and management. This position is intended to grow into the Office Manager role within the next 1-2 years . This is a long-term opportunity for someone who values accuracy, organization, and ownership of their work. Key Responsibilities Answer and route incoming phone calls professionally Schedule appointments and manage calendars Maintain accurate customer, job, and internal records Assist with billing, invoicing, and document management Work daily within QuickBooks Online for invoicing, payments, and recordkeeping Assist with payroll and employee records using Gusto Support customer communication and tracking through HubSpot Communicate with field crews and management regarding schedules and updates Manage emails, paperwork, and internal systems Gradually assume higher-level administrative and office management responsibilities Required & Preferred Experience QuickBooks Online experience required Looking for a seasoned professional office administrator looking to step into a role and take ownership with limited training and oversight. Experience with Gusto and/or HubSpot preferred but not required 2+ years of office administration or administrative support experience Strong attention to detail and follow-through (accuracy is critical) Comfortable managing multiple tasks independently Clear written and verbal communication skills Professional, discreet, and reliable Comfortable working in a small, fast-paced team environment Construction, contracting, or trade-office experience is a preferred.
