In this vital role, you will oversee daily office operations while managing financial records with precision and care. Your energetic approach will ensure the office runs smoothly, providing exceptional support to staff and clients alike. This position offers a unique opportunity to combine administrative leadership with accurate bookkeeping, fostering a productive and welcoming environment. If you possess excellent organizational skills, and enjoy multitasking, we want to hear from you! Duties Manage front desk responsibilities, greeting visitors and handling multi-line phone systems with professionalism and warmth Maintain accurate financial records using QuickBooks, including invoicing, expense tracking, and bank reconciliations Oversee office management tasks such as filing, data entry, calendar management, and supply ordering to ensure efficiency Provide exceptional customer service by addressing inquiries via phone or email promptly and courteously Support administrative functions including proofreading documents, managing correspondence, and supporting team members with personal assistant tasks Maintain organized filing systems both digitally (Google Workspace, Microsoft Office) and physically for easy retrieval of documents Processing monthly 941, Monthly DOR Excise Report Work with CPA for year end taxes Run full cycle payroll for hourly employees bi-weekly and salaried employees monthly Pay monthly Payroll Taxes, Pay Quarterly Payroll taxes. Light business property management, collect monthly rent, renew leases Maintain yearly HOA dues Skills Proficiency in QuickBooks for bookkeeping and financial management Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment Experience with front desk operations and phone etiquette Demonstrated clerical experience including data entry, filing, proofreading, and document management, payroll and taxes Time management skills to handle multiple responsibilities efficiently while maintaining attention to detail Previous experience in a construction company setting desired not required.
