This position provides leadership and supervision to business office personnel while ensuring efficient operations related to patient financial services, insurance verification, practitioner credentialing, payer enrollment, managed care contracts, revenue cycle support, compliance, and administrative functions. The Business Office Supervisor works collaboratively with medical staff, clinical leadership, billing personnel, and executive leadership to ensure operational excellence, regulatory compliance, financial stewardship, and exceptional patient service. This position plays a critical role in supporting the clinic's mission of providing exceptional healthcare consistent with Catholic teaching and respect for the dignity of every human person. Essential Duties and Responsibilities Leadership and Staff Supervision Supervise, train, mentor, and evaluate business office staff. Establish departmental goals, performance standards, and productivity expectations. Conduct regular staff meetings and performance evaluations. Assist with recruitment, onboarding, training, and retention of staff. Develop and maintain departmental policies, procedures, and workflows. Foster a positive culture of accountability, teamwork, professionalism, and service excellence. Address patient concerns and assist with complex account issues as needed. Business Office Operations Oversee front-end and back-end business office functions. Ensure accurate insurance verification and eligibility processes. Monitor patient account workflows and financial collections. Assist with patient financial policies and procedures. Collaborate with billing personnel to resolve reimbursement and payer issues. Monitor operational metrics and identify opportunities for improvement. Ensure timely completion of assigned business office functions. Physician and Nurse Practitioner Credentialing and Payer Enrollment Coordinate practitioner credentialing and recredentialing activities for physicians and advanced practice providers. Maintain practitioner enrollment with Medicare, Medicaid, and commercial insurance carriers. Complete and manage CAQH applications and updates. Track provider licenses, board certifications, DEA registrations, malpractice coverage, and other required documentation. Maintain credentialing records and ensure timely renewals. Coordinate onboarding and enrollment of new physicians and nurse practioners. Serve as the primary contact for credentialing organizations and insurance carriers. Managed Care Contracting Maintain payer participation agreements and practitioner contracts. Monitor contract renewal dates and participation status. Coordinate implementation of new payer agreements and amendments. Work with leadership regarding payer network participation and reimbursement opportunities. Assist in resolving contract-related reimbursement concerns. Compliance and Regulatory Responsibilities Ensure compliance with HIPAA, Medicare, Medicaid, and payer regulations. Maintain confidentiality of patient and practitioner information. Participate in audits and regulatory reviews. Ensure documentation and business office practices meet applicable standards. Stay informed regarding healthcare regulations impacting clinic operations. Financial and Revenue Cycle Support Support revenue cycle initiatives and financial performance goals. Identify and resolve issues impacting reimbursement. Assist with denial management and payer escalation processes. Monitor key performance indicators and provide reports to leadership. Support annual budgeting and operational planning activities. Administrative Responsibilities Participate in leadership meetings and strategic planning initiatives. Prepare reports and presentations as requested. Support organizational growth, practitioner recruitment, and service expansion efforts. Collaborate with internal departments to improve operational efficiency. Perform other duties as assigned. Qualifications Education Associate degree required. Bachelor's degree in Healthcare Administration, Business Administration, Finance, or related field preferred. Experience Minimum three to five years of healthcare business office, medical practice management, credentialing, billing, or revenue cycle experience. Minimum two years of supervisory experience preferred. Experience with multi-specialty medical practices strongly preferred. Experience with Medicare, Medicaid, commercial payer enrollment, and managed care contracts required. Experience in a nonprofit healthcare setting preferred. Knowledge, Skills, and Abilities Strong understanding of medical practice operations and revenue cycle processes. Knowledge of practitioner credentialing and payer enrollment requirements. Knowledge of commercial insurance, Medicare, Medicaid, and governmental healthcare programs. Strong leadership, organizational, and problem-solving skills. Ability to manage multiple priorities and deadlines. Excellent verbal and written communication skills. Proficiency with electronic health records, credentialing systems, and Microsoft Office applications. Ability to maintain confidentiality and professionalism. Physical Requirements Must have the physical ability execute the full performance of the duties of the position. Prolonged periods of sitting at a desk and working on a computer.
