Job Description
Job Overview We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth and efficient functioning of the office environment. Your energetic approach and exceptional organizational skills will help foster a productive workplace, support team collaboration, and enhance overall office management. Responsibilities Manage daily office operations, including overseeing front desk activities, multi-line phone systems, and greeting visitors with professional phone etiquette. Coordinate scheduling and calendar management for staff and executive teams to optimize productivity. Handle vendor management by sourcing supplies, negotiating contracts, and maintaining positive relationships with service providers. Assist with human resources functions such as onboarding new employees, maintaining personnel records, and supporting training & development initiatives. Oversee bookkeeping and basic accounting tasks using QuickBooks to ensure accurate financial record-keeping. Support event planning efforts for company meetings, training sessions, and special events to ensure seamless execution. Maintain organized filing systems, manage document flow, and ensure compliance with office policies and procedures. Qualifications Proven experience in office administration or related roles with strong clerical and organizational skills. Proficiency in QuickBooks and Microsoft Office Suite Excellent communication skills with a professional demeanor; capable of handling front desk responsibilities confidently. Experience with event planning, vendor management, calendar management, and office management systems. Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail.
