Small office Office Manager Financial and office admi support Job Summary We are seeking a dynamic and organized Office Manager/Bookkeeper to join our team! This vital role combines efficient office management with accurate financial record-keeping, ensuring smooth daily operations and financial integrity. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, capable of handling multiple responsibilities with enthusiasm. You will serve as the backbone of our administrative functions, providing exceptional customer service and maintaining a well-organized workspace that fosters productivity and professionalism. Duties Oversee daily office operations, Handle multi-line phone systems, directing calls professionally and courteously while providing outstanding customer support Maintain accurate financial records using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations Perform data entry, filing, and proofreading to ensure all documents are precise and up-to-date Manage calendar scheduling, appointment setting, and coordinate meetings for staff or clients Support administrative tasks such as typing correspondence, managing office supplies, and organizing files Provide exceptional customer service by addressing inquiries promptly and professionally in person or via phone or email Skills Proficiency in QuickBooks accounting software and Microsoft Office suite (Word, Excel, Outlook) Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Excellent phone etiquette and experience with multi-line phone systems Bilingual abilities are highly desirable to serve diverse client needs effectively Proven office management experience with a solid understanding of clerical procedures and administrative best practices Exceptional data entry skills with high accuracy and attention to detail Knowledge of Google Workspace tools (Gmail, Calendar, Drive) for seamless collaboration Experience in bookkeeping or financial recordkeeping within a professional setting Strong time management skills to prioritize tasks effectively and meet deadlines Personal assistant or medical/dental receptionist experience is a plus for handling specialized client interactions Join us to be part of a vibrant team committed to excellence!
