Job Description

Handles and processes time-sensitive material to include agreements, payroll data entry and collect procurement card transaction receipts and back up documents. Respond to incoming calls by answering phone, taking messages and transferring to the appropriate person. Scans and maintains files in an accurate and efficient manner. Help with standardizing electronic filing protocols. Maintains contact lists, digitize and input information into Outlook from business cards or other forms of information, and makes updates as needed. Requisitions supplies & requests purchase orders as needed. Helps maintain staff calendars, scheduling meetings for internal and external attendees, and help set cadence for meetings with consultants and stakeholders Help maintain financial spreadsheets related to our capital and bond programs including reconciliation with the County Auditor Assist staff with scheduling travel, both in-state and out of state, preparing the necessary Court items, and making reservations once travel is approved Assist staff with preparing expense statements for submission and approval by the Auditor's office Assist with researching various topics and using that information to prepare PowerPoint presentations for internal and external meetings or speaking engagements Provides clerical support including typing, filing, and distribution of mail; greeting and directing visitors, and scheduling appointments. Help monitor staff email inboxes and provide recommendations on prioritizing responses based on assessed urgency Attending meetings upon request to help document meeting minutes, develop action items, and follow up on action item completion Processes and tracks internal agreements, deadlines, and proactively alerting staff when time extensions may be needed Assists other workers with their duties. Participates in activities and duties related to emergency management during a local state of disaster as directed by appropriate county managers.
MINIMUM JOB REQUIREMENTS
High School Diploma/GED. 3 years of job related work experience required; 4-5 years preferred. Good typing skills (minimum 35 WPM) and good computer skills including proficiency in Microsoft Word, Excel, Outlook and PowerPoint. Good verbal and written communication skills. Good interpersonal skills and ability to deal effectively with the public, other employees and elected officials.
STARTING SALARY RANGE
$18.31 - $22.89 hourly based on qualifications
