Job Description

Overview We are seeking a dynamic and organized Office Administrative Assistant to join our team! This vital role offers an exciting opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. As the backbone of our administrative functions, you will be instrumental in maintaining a smooth-running office environment, managing communications, and assisting with various clerical tasks. This is a paid position that encourages growth and professional development. Responsibilities Greet visitors at the front desk with professionalism and warmth, ensuring a positive first impression. Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette. Handle data entry tasks efficiently using computer skills, including Microsoft Office, Quickbooks, Excel and Google Workspace applications. Utilizing our scheduling work flow system, Maintain organized filing systems—both physical and digital—to ensure quick retrieval of documents. Assist with calendar management and scheduling appointments for team members or executives. Support bookkeeping and basic financial recordkeeping using QuickBooks or similar accounting software. Provide customer support by responding to inquiries via phone or email, ensuring excellent service at all times. Perform clerical duties such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail. Coordinate office supplies inventory and place orders as needed to keep the workspace well-stocked. Support office management tasks including organizing meetings, preparing agendas, and managing office procedures. Requirements Proven experience in an office environment with strong clerical skills and familiarity with office management practices. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and basic data entry skills. Experience using multi-line phone systems and demonstrating excellent phone etiquette. Ability to manage multiple tasks efficiently with exceptional organizational skills and time management. Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members. Prior experience as a receptionist, medical or dental receptionist, or personal assistant is a plus. Strong computer literacy including familiarity with bookkeeping software like QuickBooks is preferred. Excellent proofreading skills to ensure accuracy in correspondence and documentation. Pay:
$23.50 - $29.50 per hour
