Office Assistant (Administrative Support) About Us We are a fast-paced, growing company seeking a dependable, professional Office Assistant to work closely with leadership and support daily administrative and operational functions. The right candidate is trustworthy, understands their role, and takes pride in supporting a team. This role involves a variety of administrative and operational tasks. Key Responsibilities Rebuild Coordination & Scheduling Coordinate site inspections and scheduling Assist with rebuild job scheduling and workflow tracking Help monitor job progress and outstanding items Support coordination between office and field teams Assist with prioritizing administrative rebuild tasks Contracts, Billing & Collections Assist with contract creation and documentation Prepare and manage draw schedules Manage rebuild collections and follow-up on outstanding balances Assist with tracking approvals, supplements, and billing items Support financial tracking related to rebuild jobs Customer & Job Management Onboard rebuild customers and assist with communication Follow up with customers and adjusters as needed Maintain professional and consistent communication Assist with managing customer expectations through documentation and updates Documentation & Compliance Maintain rebuild job folders and documentation Track compliance requirements and required documentation Ensure files are complete, organized, and up to date Assist with estimate-related administrative tasks Support documentation accuracy for all rebuild projects Systems, Reporting & Process Support Maintain estimating dashboards and internal tracking systems Assist with expense tracking and reporting Support SOP development and process organization Assist with identifying gaps and improving workflow processes Help maintain structure across rebuild systems and documentation Leadership Support Assist and support rebuild leadership Support operational administrative initiatives Assist with special projects and departmental priorities Help maintain organization across rebuild operations What We're Looking For The ideal candidate demonstrates professional maturity and the following traits: Clear Communicator
