Job Description

Job Overview We are seeking a dynamic and organized Office Staff member to join our team and ensure the smooth operation of daily administrative functions. This role offers an exciting opportunity to contribute to a professional environment by managing essential office tasks, supporting team members, and providing exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess strong organizational skills to thrive in a fast-paced setting. All positions are paid, including internship opportunities, with a focus on fostering growth and professional development. Duties Serve as the front desk ambassador, greeting visitors and directing them appropriately with excellent phone etiquette. Operate multi-line phone systems efficiently to handle inquiries, transfer calls, and provide information promptly. Manage office correspondence through data entry, filing, proofreading, and document management using Microsoft Office and Google Workspace tools. Maintain organized records through filing systems, digital databases, and accurate bookkeeping using QuickBooks or similar accounting software. Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings. Assist with clerical duties including typing reports, organizing documents, and supporting customer support efforts. Perform general office management duties to ensure a clean, efficient workspace that promotes productivity. Qualifications Proven experience in an office environment with strong clerical and administrative skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Familiarity with QuickBooks or other bookkeeping software is preferred. Excellent organizational skills with the ability to multitask effectively in a busy setting. Strong computer literacy and data entry skills with high accuracy and attention to detail. Bilingual abilities are a plus for communicating with diverse clients and team members. Prior experience in customer service or personal assistant roles is advantageous. Knowledge of office equipment such as multi-line phones, fax machines, and printers is desirable. Demonstrated professionalism in phone etiquette and interpersonal communication.
