Job Description

Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the first point of contact of our office, ensuring smooth daily functions and providing exceptional support to staff and visitors alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment. The position plays a key role in maintaining and updating membership databases, managing, website and social media content, assisting with meetings and events, processing invoices, incoming and outgoing correspondence and handling light office errands. The ideal candidate is proactive, tech-savvy, and possesses excellent communication skills. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant team dedicated to excellence. Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate phone systems, handle incoming calls, and route messages efficiently Maintain organized filing systems, both physical and digital, including data entry and document proofreading Use Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for document creation, editing, and collaboration Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings Assist with bookkeeping tasks using QuickBooks to track expenses and invoices Provide customer support through courteous communication and prompt resolution of inquiries or issues Perform clerical duties such as photocopying, faxing, mailing, and inventory management for office supplies Handle confidential information with discretion while ensuring accuracy in all administrative processes Assist with supplies, setup and teardown for luncheons and other events Manage and update website and social media content Maintain and update member databases to ensure accurate records
Pay:
$15.00 - $20.00 per hour
