Job Description

JOB PURPOSE
Provide front desk reception, customer service, and general administrative support for Northwest Arkansas National Airport. This position serves as the first point of contact for visitors, callers, tenants, customers, and airport staff, while also being cross-trained to provide backup support for the Badging Office as needed.
ESSENTIAL JOB FUNCTIONS
Answer telephones, provide information to callers, transfer calls, and take accurate messages. Monitor and respond to the front desk email account, route inquiries to the appropriate department or staff member, and ensure timely follow-up on messages received. Greet visitors, tenants, customers, and callers in a professional and welcoming manner and direct them to the appropriate person or department. Provide front desk coverage during regular business hours, including assisting with walk-in questions, visitor coordination, and general customer service needs. Maintain front desk forms, logs, and records, including parking validation logs, visitor information, and other routine front desk documentation. Maintain the airport's lost and found program, including logging items, coordinating with
TSA, XNA
Police, airlines, and customers when appropriate, arranging item returns through approved airport procedures, and preparing unclaimed items for donation. Schedule conference rooms on the XNA Outlook calendar once required forms are complete. Assist with conference room readiness by monitoring supplies, submitting maintenance requests when needed, and helping ensure rooms are prepared for meetings and events. Distribute packages and deliveries received at the front desk. Operate standard office equipment, including computers, phones, printers, copiers, and postage equipment. Prepare routine correspondence, forms, spreadsheets, and other documents as assigned. Cross-train with the Badging Office to provide backup support during breaks, lunch periods, absences, or periods of increased activity. Maintain familiarity with basic badging office procedures, including enrollment requirements for the XNA Guest Pass Program and other badging-related processes. Order, track, and maintain routine office and conference room supplies for airport staff and shared administrative spaces, following established purchasing procedures. Provide outstanding customer service with enthusiasm, professionalism, and commitment to the organization while representing the Airport in a positive manner. Receive, record, and maintain petty cash, badging payments, SIDA fines, and other approved payments in accordance with airport accounting policies and procedures.
REQUIREMENTS
KNOWLEDGE:
Graduation from high school or equivalent, 2 or 4 year college degree preferred, with experience in bookkeeping, general clerical work, or any equivalent combination of experience and training that provides the following knowledge, abilities, and skills: Knowledge of general clerical practices and procedures, including familiarity with modern, complex office and information management equipment. Ability to work under pressure with occasional interruptions or tight deadlines to accomplish assigned responsibilities. Ability to maintain administrative, fiscal, and general records and prepare reports or respond to questions from files or records. Ability to compose correspondence or agenda materials on routine matters and to perform routine office work with referral to or direct supervision from a supervisor. Ability to maintain effective public relations and establish good working relationships with other employees, tenancies, and the public. You may not operate an airport vehicle or motorized equipment and must notify Human Resources before returning to work: (i) if you are arrested for driving under the influence of alcohol or drugs; or (ii) if the state revokes, suspends or fails to renew your driver's license. Incumbents of this position must possess a valid Arkansas driver's license and be insurable to operate the Airport's vehicles and motorized equipment.
SECURITY
Requires the ability to pass a security background check. The Northwest Arkansas National Airport is a drug free workplace. This position is a safety sensitive position as defined in Ark. Const. Amend. 98, § 2(25). Persons employed in this position may not use marijuana at any time or any place.
MENTAL:
Requires normal attention.
PHYSICAL
Requires standing approximately 20%, sitting approximately 80%, occasional lifting of paper and files weighing up to 20 lbs approximately 1% of the time.
ENVIRONMENTAL
Requires capability of performing essential job functions in an office environment.
MANUAL DEXTERITY
Requires using hands, arms and/or feet for performing essential job functions such as operating computer hardware and software, and related office equipment.
AUDIBLE:
Requires ability to understand and follow oral instructions.
VISUAL:
Requires the ability to read written material, spreadsheets and operate office equipment.
