Overview We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment. Duties Greet visitors and clients warmly, providing excellent customer service and maintaining a professional front desk presence Answer multi-line phone systems promptly, directing calls accurately and courteously using proper phone etiquette Manage calendar scheduling, appointments, and meetings with precision using tools like Microsoft Office and Google Workspace Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records Handle incoming and outgoing correspondence, including emails, mailings, and deliveries with efficiency Assist with basic bookkeeping tasks using QuickBooks or similar software to support office financial processes Support office management activities such as supply inventory, equipment maintenance, and general clerical duties Experience Proven office experience or administrative support background demonstrating strong organizational skills Familiarity with multi-line phone systems, front desk operations, and customer service best practices Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily tasks Experience with data entry, filing systems, proofreading documents, and managing calendars effectively Bilingual skills are highly desirable to assist diverse clients and team members Knowledge of office management procedures including bookkeeping (QuickBooks preferred), medical or dental receptionist experience is a plus Strong computer literacy combined with excellent time management skills to prioritize tasks efficiently Join us as an Office Assistant and become an integral part of a lively team dedicated to excellence!
