Secretary/Receptionist

Primary Purpose:
Provide accurate and effective secretarial services
Qualifications:
Education/Certification:
High School Diploma
Special Knowledge/Skills:
Proficient typing, word processing and file maintenance skills Effective organizational, communication and interpersonal skills Ability to use personal computer and software to develop spreadsheets, databases and do word processing Knowledge of office procedures Major Responsibilities and Duties 1. Inventory supplies and equipment and initiate requisitions as needs indicate to maintain efficient and economical operation of the office. 2. Plan for the utilization of the time during the day to accomplish the tasks assigned to meet deadlines. 3. Perform routine office procedures. 4. Demonstrate proficiency in operating office equipment. 5. Demonstrate proficiency in secretarial skills. 6. Assist in gathering and recording information for reports and records. 7. Maintain confidential student files and documents. 8. Complete details regarding meetings, including scheduling, making arrangements, contacting participants and setting up meeting rooms. 9. Cooperate with other staff members and communicate effectively to contribute to the overall effectiveness of the operations within the administrative offices. 10. Maintain accurate records and bookkeeping with department budgetary procedures. 11. Establish and maintain effective communication with principals, teachers, support staff and community members. 12. Assume personal responsibility for enhancing competencies through staff development, workshops and/or reading of current literature. 13. Initiate procedures to modify performance, as deemed necessary, based on self-analysis of actions and feedback from staff members. 14. Efficiently perform all other assigned tasks. 15. Perform other duties as assigned.
