Job Overview We are seeking a dynamic and detail-oriented Sales Administrative Assistant to join our energetic team! Responsibilities Manage front desk operations, greeting visitors and clients with professionalism and warmth Handle multi-line phone systems efficiently, directing calls and taking detailed messages Maintain accurate data entry using tools like QuickBooks, Microsoft Office, and Google Workspace Support office management tasks including filing, proofreading, calendar management, and scheduling appointments Assist with bookkeeping activities and basic bookkeeping tasks to support financial accuracy Provide excellent customer support via phone and email, ensuring client needs are met promptly Organize and maintain files, records, and correspondence to ensure easy retrieval and compliance Perform clerical duties such as typing documents, proofreading materials, and managing office supplies Support sales team with administrative tasks like preparing reports, managing CRM data, and coordinating meetings Experience Proven office experience with a strong background in administrative support roles Prior clerical experience in a customer service or sales environment preferred Familiarity with QuickBooks accounting software is highly desirable Experience managing multi-line phone systems and front desk operations required Bilingual skills are a plus to assist diverse client needs effectively Strong computer literacy across Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry tools necessary Excellent organizational skills with the ability to prioritize tasks efficiently in a busy setting Demonstrated phone etiquette and professional communication skills essential for customer interactions Personal assistant or medical/dental receptionist experience is advantageous but not mandatory Join us in creating an engaging workplace where your organizational talents make a real impact!
