This energetic role is perfect for someone who thrives in a fast-paced office environment, loves organizing and managing financial records, and excels at providing exceptional support to our team and clients. As a vital part of our administrative staff, you will handle a variety of clerical, bookkeeping, and office management tasks, ensuring smooth daily operations while maintaining accuracy and professionalism. Duties Manage and maintain accurate financial records using QuickBooks accounting software Perform data entry, invoicing, billing, and bank reconciliations with precision Handle some front desk responsibilities including greeting visitors, answering phone (minimal), and providing excellent customer support Oversee office management tasks such as filing, organizing documents, and maintaining office supplies Coordinate calendar appointments, schedule meetings, and manage time-sensitive tasks using Google Workspace and Microsoft Office tools Provide clerical support including proofreading documents, preparing reports, and performing data entry with high accuracy Assist with bookkeeping duties and ensure all financial transactions are properly documented and organized Requirements Proven experience with QuickBooks accounting software is a definite must and will be tested. Strong office management skills with previous clerical or administrative experience Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Exceptional organizational skills with the ability to prioritize tasks efficiently Experience handling multi-line phone systems and practicing professional phone etiquette Demonstrated ability to perform data entry accurately while maintaining attention to detail Personal assistant or office support experience is a plus Strong typing skills along with proofreading capabilities to ensure error-free documents Knowledge of office procedures such as filing systems and calendar management Ability to manage time effectively in a busy environment while maintaining professionalism Construction management support and understanding Vendor and Subcontractor support Construction Document control and organization Steel Construction office experience and big plus Must be easy to talk to with a kind demeanor Confident in your abilities and energetic to be able to keep up with a fast paced environment Join us in delivering outstanding administrative support that keeps our operations running seamlessly!
