Full Job Description Description:
The Administrative Assistant (AA) is responsible for supporting daily administrative operations at the facility, ensuring smooth communication, supply management, and employee engagement. This role works closely with the General Manager, Home Office, to facilitate workflows, maintain organized records, and support team communication. The ideal candidate is detail-oriented, proactive, and able to manage multiple responsibilities in a fast-paced environment.
Requirements:
Support daily administrative operations by participating in morning huddles, maintaining a clean office, managing Slack communications, addressing customer concerns, and handling incoming mail and distribution. Support meeting coordination by attending weekly admin meetings and training, preparing agendas and materials with the GM, taking and organizing meeting notes, and tracking action items with calendar reminders. Support employee engagement by coordinating celebrations and events, posting internal communications, and managing related budgets in alignment with the company engagement calendar. Manage facility supplies by tracking inventory, placing approved orders, updating the supply tracker, and processing invoices and receipts per procurement guidelines. Report facility maintenance or safety concerns to the General Manager Manage employee onboarding processes Communicate benefits updates and enrollment timelines to employees Qualifications /
Requirements:
Maintains organized systems to manage tasks and deadlines efficiently Accurately enters and reviews data with minimal errors Proactively follows up on tasks to ensure completion Carefully proofreads documents and communications Strictly adheres to established procedures and protocols
Physical Requirements:
Ability to sit, stand, and walk for extended periods Frequent walking throughout the facility to support admin and operational needs Ability to lift and carry office or supply items up to 25 lbs Manual dexterity to operate office equipment (e.g., computer, scanner, printer) Comfortable working in varying warehouse temperatures (hot/cold) as needed for tasks
