Whether coming in for an eyewear adjustment, a routine eye exam, or an advanced refractive procedure, we strive to put the patient's individual needs first. Position Summary The front/back office specialist is a key member of the healthcare team at Carrot LASIK & Eye Center. The front/back office specialist manages day-to-day front/back office duties for the practice. These duties include answering & directing incoming calls, providing information about products & services, converting patient inquires to scheduled appointments, greeting/checking-in patients, maintaining patient records, managing financial transactions, scheduling appointments, and other general office duties. Essential Duties and Responsibilities The Front/Back Office Specialist role is multifaceted; the following duties and responsibilities are essential: Answer and direct all incoming calls as appropriate Provide information regarding products and services offered Convert patient inquiries to scheduled appointments Complete patient call backs or follow up requests as needed Opening and closing procedures Greet patients and visitors with warmth and excitement Ensure patient portals are active prior to appointments Assist patients during the check-in/check-out process Maintain patient confidentiality by adhering to all HIPAA regulations and guidelines Maintain patient records using an Electronic Medical Record (EMR) system and a Customer Relationship Management (CRM) system Authorize patient insurance plans Educate patients about various products and services Manage financial transactions for products and services Manage and schedule appointments Manage face sheets Stock and Sanitize the waiting area Manage patient communication in-person, on the phone, and via email Maintain front office refreshment bar Obtain Insurance Prior Authorization for surgical procedures Qualifications and Skills As our medical practice is fast-paced and highly electronic, the Front/Back Office Specialist must be capable of quickly adapting to our technology & processes, have superior communication skills and maintain a high level of confidentiality with all patient information and interactions. The Front/Back Office Specialist will thrive in a highly supportive and collaborative team environment where learning and coaching at all levels is encouraged. Qualified candidates should possess the following: MINIMUM of one-year experience as an Administrative Assistant/Front Office Clerk/Insurance Verification required; Experience working in Ophthalmology preferred HS Diploma or equivalent
REQUIRED
Experience with EMA or any EMR/Practice Management system strongly preferred Experience with Salesforce or a CRM system strongly preferred Bilingual (English/Spanish) a plus Must be prompt, reliable, relationship oriented, detail focused, efficient, able to multi-task and work effectively with a variety of patients and staff Standard Schedule is M-F, and the shift hours will vary between 7:00am-5:00pm.
